What to put on an estimate or quote

What every estimate shows

  • your business name and how to reach you
  • the client's name and address
  • a reference number and the date
  • the work, line by line, with quantities and prices
  • VAT if you are VAT registered, or sales tax where it applies
  • the total, and the date the price holds until
  • what is not included, and how to accept

The last two go under Terms. Listing what is left out (skip hire, making good, decorating) prevents most arguments about the final bill.

Estimate or quote?

People use the two words loosely, so say what you mean on the page. A quote is usually read as a fixed price for the work described. An estimate is your best guess, and the final bill can be different.

If the price could change, call it an estimate and say what would change it, such as hidden damage or extra work the client asks for. In the US, “estimate” is the everyday word for both, so write “fixed price” in the terms when it is one.

How long the price holds

Materials prices and your diary both move, so put a date on it. This template sets the price to hold for 30 days from today. Change it under Number and dates.

Getting it accepted

Every PDF ends with a signature and date line. A signed copy, or a written reply saying yes, is your record of what was agreed and for how much. Keep it with the job.

VAT and sales tax

UK: if you are VAT registered, switch it on under From and every line gets its VAT rate. Private clients compare the full price, so the total they see includes VAT.

US: whether labor, materials or both are taxable depends on your state. Check your state's rules, enter your rate, and untick any line that is not taxable.

When the job is done

Switch the document to Invoice at the top. The client, the lines and your details carry over, and the invoice gets its own number, so your estimate numbers and invoice numbers stay in two clean series.

Questions

Is this estimate template free?

Yes. Make as many estimates and quotes as you like. Each PDF carries one small line at the bottom saying it was made with Billsmith.

Can I turn an estimate into an invoice?

Yes. When the job is done, switch the document to Invoice at the top. The client, the lines and your details carry over, and the invoice gets its own number.

Can my client sign it?

Yes. Every PDF ends with a signature and date line. Your client can print and sign it, or sign the PDF on a phone or computer and send it back.

Do you keep a copy of my estimates?

No. The PDF is built inside your browser and never sent to us. Your details are saved in this browser only, so the next one is quicker. "Clear everything" removes them.
