What a landscaping estimate needs

What a landscaping estimate shows

  • your business name, address and phone, and a license number where your state requires one
  • the customer’s name and the property address
  • an estimate number, the date and how long the price holds
  • each item with its unit: square feet of sod, cubic yards of mulch, each plant
  • turf removal, grading and clean-up, including green waste disposal, as their own lines
  • your plant warranty and what it depends on, such as one season with watering
  • sales tax where your state charges it

Unit prices make it easy to resize the job when the customer wants less sod or another bed.

Sales tax on landscaping in Texas

If you do landscaping or lawn and plant care in Texas, you should be collecting sales and use tax. The exception is a self-employed person working alone, with no employees or partners, whose receipts were $5,000 or less in the most recent four calendar quarters. Landscaping for a homebuilder as part of a new home can be nontaxable with the builder’s certificate.

Every line in the example is taxable: enter your local rate and the tax is added to the total. Other states set their own rules, so check yours.

Licenses and California’s $1,000 limit

California and Florida want a contractor’s license number on bids, proposals and contracts, and Arizona on written bids and estimates, preceded by “ROC”.

In California, work without a contractor’s license is limited to jobs under $1,000 in total, labor and materials included, that need no permit and use no employees, and any advertising for that work must say you are not licensed.

Jobs sold at the customer’s home

Under the FTC Cooling-Off Rule, a sale of $25 or more made at the buyer’s home can be canceled until midnight of the third business day after the sale. Saturdays count; Sundays and federal holidays do not. Sales needed to meet an emergency are not covered.

Questions

Is landscaping taxable in Texas?

Yes, generally. The exception is a self-employed person working alone, with no employees or partners, and $5,000 or less in receipts over the most recent four calendar quarters.

How do landscapers price sod?

By the square foot, installed. HomeGuide’s 2026 figures put sod at $1 to $2 a square foot and mulch at $35 to $70 a cubic yard, installed.

Should I include a plant warranty?

It answers the first question a customer asks when a shrub dies. Say how long it lasts, for example one season, and what it depends on, such as watering as instructed.
