The basics
- your business name, address, phone number and license number
- the customer’s name and the job address
- an invoice number, the date and a due date
- parts described by brand and rating, for example a 200 A panel
- labor as hours and rate, and the permit on its own line
- sales tax only where your state charges it, then the total due
On the final invoice, add the permit number and the date the inspection passed. Pricing the job first? Switch the document at the top to Estimate (Quote in the UK), and the lines carry over when you switch back to Invoice.
Your license number, state by state
- Texas: your name, address, phone number and license number on all proposals, invoices and written contracts.
- California: on all contracts, subcontracts and bids, and CSLB treats a proposal as advertising, which needs it too.
- Arizona: on written bids and estimates, preceded by “ROC” (A.R.S. 32-1124).
Add it as the last line of your address under From, and it prints under your business name on every invoice.

Texas: the TDLR notice
Every Texas invoice and written contract for electrical work must also carry this notice:
“Regulated by The Texas Department of Licensing and Regulation, P.O. Box 12157, Austin, Texas, 78711, 1-800-803-9202, 512-463-6599; website: www.tdlr.texas.gov/complaints”
Put it in the notes; the next invoice you start keeps it. Your vehicles need your name and license number on both sides, in letters at least two inches high, with the prefix TECL for an electrical contractor.

England: notifiable work and certificates
Three kinds of electrical work are notifiable under Part P: a new circuit, replacing a consumer unit, and any addition or alteration to circuits in a special location, such as the zones around a bath or shower, or a room with a swimming pool or sauna. It is certified by a registered competent person, a registered third-party certifier or building control.
A registered competent person should give a BS 7671 Electrical Installation Certificate for every job, to the person who ordered the work. Within 30 days, the installer or its scheme gives the occupier a Building Regulations compliance certificate and tells building control. Work that is not notifiable is still inspected, tested and certified to BS 7671.

UK: what to put on the invoice
Name the certificate you will issue (an Electrical Installation Certificate or a Minor Works certificate), your scheme and membership number, and whether the Part P notification fee is included.
Approved Document P covers England only, so check the rules before working in Wales, Scotland or Northern Ireland. Add VAT only once you are VAT registered.
