What a UK invoice must show

On every UK invoice

  • a unique invoice number
  • your name or company name, address and contact details
  • your customer’s name and address
  • a clear description of what you are charging for
  • the date the work was done (the supply date) and the invoice date
  • the amounts charged, VAT if you are registered, and the total owed

Sole traders

Show your own name and any business name you trade under. If you use a business name, also give an address where legal documents can be delivered to you. Trading under your own surname, with just a first name or initials added, is not a business name for these rules.

Limited companies

Use the company’s full name exactly as it appears on the certificate of incorporation. If you name any director on the invoice, you must name them all.

The law asks for the company number and registered office on letters, order forms and your website rather than invoices, but almost every company prints them on invoices too. It costs nothing and answers the first question an accounts team asks.

VAT, or no VAT

If you are not VAT registered, leave VAT off completely: no VAT line and no VAT number. Only a VAT-registered business can issue a VAT invoice, and HMRC can fine anyone who does without being registered.

You must register once your taxable turnover for the last 12 months goes over £90,000, or you expect it to within the next 30 days. Once registered, switch VAT on under From and the template shows everything a full VAT invoice needs.

Getting paid on time

Give the due date as a date, not just “30 days”, and put your bank details on the invoice itself. If the customer gave you a purchase order number, add it to the notes: accounts teams match invoices to orders.

When a business pays late, the law lets you add interest at 8% over Bank Rate and a fixed sum of £40 to £100. Work it out with the late payment interest calculator.

Keep a copy

Self-employed? Keep your records, invoices included, for at least five years after the 31 January deadline for the tax year they belong to.

Questions

Do I put a VAT number on my invoice if I’m not VAT registered?

No. Only a VAT-registered business can issue a VAT invoice, and HMRC can penalise anyone who issues one without being registered. Leave the VAT line and number off.

Does my company number have to be on my invoices?

Your company’s registered name must be. The company number and registered office are required on letters, order forms and your website; most companies add them to invoices as well, and this template has a place for the number.

When do I have to register for VAT?

When your taxable turnover for the last 12 months goes over £90,000, or you expect it to go over £90,000 in the next 30 days. Register within 30 days of the end of the month you went over.

Is this UK invoice template free?

Yes. Make as many invoices as you like. The PDF is built in your browser and never sent to us.
