What a handyman invoice needs

The basics

  • your business name, address and phone number
  • the customer’s name and the job address
  • an invoice number, the date and a due date
  • each task on its own line, priced by the job or by the hour
  • materials on their own lines, at cost or with your markup stated
  • one total for labor and materials together

When a handyman needs a contractor license

  • California: the whole job, labor, materials and everything else, must come to under $1,000, the work must need no permit, and you cannot employ anyone on it. Ads for that work must say you are not licensed.
  • Arizona: under $1,000 in total, for casual or minor work that needs no building permit and is not part of a larger job split up. Any advertising must say “not a licensed contractor”.
  • Florida: under $2,500 in total, for casual, minor or inconsequential work that is not part of a larger job or split up to get around the rule, and not if you advertise as a contractor.

Other states set their own limits. Check yours before you quote a job over it.

The invoice total is the number that counts

All three limits count labor, materials and every other cost together, so the total at the bottom of the invoice is the figure that tests the limit. The example job comes to $510, under California’s limit.

Arizona and Florida both take the exemption away from work split into smaller jobs to stay under the limit, so bill one job on one invoice.

Call-out charges and materials

State a minimum call-out charge and the hourly rate after it in your notes, so a 20-minute fix is never an argument. Show materials at cost plus a stated markup.

Attach before and after photos to the email that carries the invoice. They answer “what did I pay for” before anyone asks.

Handyman work in the UK

Gas work must be done by a business on the Gas Safe Register. In England, notifiable electrical work, such as a new circuit or a new consumer unit, has to be certified by a registered competent person, a registered third-party certifier or building control. See the plumbing and electrician templates.

Everything else follows the standard UK invoice, with VAT only once you are VAT registered.
