What a cleaning invoice needs

The basics

  • your business name, address and phone number
  • the client’s name and the address you cleaned
  • an invoice number, the date and a due date
  • each visit with its date, or the hours worked
  • extras such as the oven, fridge or windows on their own lines
  • sales tax only where your state charges it, then the total due

Sales tax on cleaning in Texas

Texas charges sales tax on cleaning a home, office, warehouse, garage or any other building, and on cleaning a swimming pool. The only exemption is for a cleaner who is an employee of the household.

Enter your local rate under the job, then untick any line it does not apply to. Other states set their own rules, so check yours before you add tax or leave it off.

Regular clients: one invoice a month

For weekly or every-other-week clients, send one invoice a month that lists each visit date. Put extras on their own lines, so the client sees exactly why one month costs more than the last.

Write your cancellation fee and key-holding terms in the notes. They are easier to agree on the first invoice than after the first missed visit.

Office clients: W-9 and 1099-NEC

A business that pays you $2,000 or more in a calendar year, for payments made after December 31, 2025, files Form 1099-NEC and will ask for your Form W-9 first. Send the W-9 with your first invoice: without a correct taxpayer ID, the client may have to withhold 24% of each payment.

Payments to corporations are generally not reported, so if your cleaning business is a corporation, or an LLC taxed as one, most clients will not file a 1099-NEC for you.

Questions

Do house cleaners charge sales tax?

It depends on the state. Texas taxes cleaning homes, offices and other buildings unless the cleaner is the household’s employee. Other states have their own rules, so check yours, then enter the rate.

How should I invoice a regular weekly client?

Send one invoice a month listing each visit date, with any extras on their own lines. The client sees every visit, and you chase one payment instead of four.

Do cleaners charge VAT in the UK?

Only if they are VAT registered. Registration is compulsory once taxable turnover for the last 12 months goes over £90,000.

Is this cleaning invoice template free?

Yes. Make as many invoices as you like. The PDF is built in your browser and never sent to us.
